Refund, Cancellation & Service Policy

Thank you for choosing Nadia Hair & Beauty Studio. We are committed to providing a professional, relaxing and high-quality experience for all our clients. To help us manage our schedule and maintain fairness for both clients and staff, we ask that you review and agree to the following policy before booking or receiving services at our salon.

This policy applies to all appointments booked online, in-person, by phone, or through third-party platforms such as Treatwell.


1. Appointment Confirmations

  • All bookings will be confirmed via email or SMS once processed.
  • If you do not receive confirmation, please contact us directly to ensure your booking is secured.
  • Certain services (e.g., colour, aesthetics, group or bridal bookings) may require a consultation prior to final confirmation.

2. Deposit & Prepayment Policy

To reduce no-shows and late cancellations, we may require:

  • A non-refundable deposit for high-value services, new clients, or peak-time appointments.
  • Full prepayment for specific treatments, especially during weekends, promotional events, or for clients with a history of missed appointments.

Deposit Terms:

  • Deposits are non-refundable.
  • If you cancel or reschedule with at least 24 hours’ notice, your deposit can be carried forward once.
  • Failure to give sufficient notice will result in forfeiture of your deposit.

3. Cancellation & Rescheduling Policy

Standard Appointments:

  • Cancellations or changes must be made at least 24 hours before your scheduled appointment.
  • Cancellations with less than 24 hours’ notice will be charged 50% of the service cost.
  • No-shows or cancellations within 4 hours of your appointment will be charged 100% of the service cost.

Group, Bridal & Long Appointments:

  • Require 48 hours’ notice for cancellation or rescheduling.
  • Changes made less than 48 hours in advance may result in a loss of deposit and full charge.

4. Late Arrivals

We respect every client’s time and work hard to stay on schedule.

  • If you arrive more than 10 minutes late, we may need to shorten your treatment or reschedule.
  • In these cases, 100% of the original appointment fee may still apply.
  • Please call us if you are running late.

5. Refunds for Services

We do not offer cash refunds for services that have already been provided.

Service Satisfaction:

  • If you are not satisfied with a service, please notify us within 48 hours of your appointment.
  • We may offer a correction or adjustment at no extra cost, subject to management review.
  • Corrections must be scheduled within 7 days of the original service.
  • We reserve the right to refuse repeat corrections where client requests fall outside industry expectations or are abusive in nature.

6. Product Returns

We offer a fair return and exchange policy on retail purchases:

  • Products must be unopened, unused, and in original packaging.
  • Return must be made within 7 days of purchase with the original receipt.

Non-Returnable Items:

  • Opened or used products
  • Skincare, cosmetics, and hygiene-related items
  • Promotional or clearance products
  • Products without proof of purchase

Faulty items will be exchanged or refunded in accordance with the Consumer Rights Act 2015.


7. Patch Testing & Medical Disclosure

Mandatory Patch Tests:

  • Required for tinting, eyelash services, laser, advanced skin treatments, and some chemical-based hair services.
  • Patch tests must be performed at least 24–48 hours before the appointment.

Failure to complete a required patch test will result in the automatic cancellation of your service, and deposits may be forfeited.

Medical Conditions & Pregnancy:

  • Please inform us of any allergies, skin conditions, infections, or health issues that may affect treatment.
  • Some treatments are not suitable during pregnancy or while taking certain medications.
  • We reserve the right to decline treatment if it is unsafe to proceed.

8. Courses, Packages & Multi-Session Deals

  • All courses and prepaid packages must be paid in full in advance and are non-refundable once the first session is used.
  • Missed or late-cancelled sessions will be counted as redeemed.
  • Packages are valid for 6–12 months, as specified at purchase.
  • Extensions may be considered for medical or emergency reasons, with supporting documentation.

9. Gift Vouchers

  • Valid for 12 months from the date of purchase.
  • Non-refundable, non-transferable, and cannot be exchanged for cash.
  • Lost or expired vouchers will not be reissued.
  • Must be presented at the time of booking or payment.
  • Can be used toward any treatment unless otherwise specified.

10. Children, Guests & Pets

  • Children under 12 must be accompanied and supervised at all times.
  • For health and safety reasons, no children or guests are permitted in treatment areas unless receiving a service.
  • No pets are allowed inside the salon, except for service animals.

11. Behaviour Policy

We promote a welcoming and respectful environment.

  • Aggressive, inappropriate, or abusive behaviour toward staff or clients will not be tolerated.
  • We reserve the right to refuse service or remove individuals from the premises if policies are violated.

12. Liability Disclaimer

While we take the utmost care, Nadia Hair & Beauty Studio will not be held responsible for:

  • Adverse reactions where the client declined a patch test or failed to disclose relevant information
  • Reactions to aftercare products used incorrectly
  • Lost, stolen, or damaged belongings
  • Treatments performed against professional advice

All treatments are performed by qualified and insured professionals. We are fully compliant with health & safety, GDPR, and UK beauty licensing regulations.


13. Amendments to This Policy

This policy may be updated without notice. The most recent version will always be available on our website and applies to all future appointments.
